A modern POS system is the digital heart of your shop, handling everything from customer payments to real-time inventory management.

To get your shop up and running, you need a POS system that combines ease of use with robust inventory tracking. For most new UK retailers, the most efficient approach is a cloud-based system that runs on a tablet, allowing you to manage sales, track stock levels, and process VAT-compliant receipts from one central hub.

Choosing the right POS software

In the UK market, you have several excellent options such as Square, Zettle, Shopify POS, or Lightspeed. When comparing systems, look beyond the monthly subscription fee and consider the "payment processing fee" (usually a percentage of every sale). Choose a system that integrates seamlessly with your accounting software to make your tax returns easier later on.

  2. Import your products: Use a CSV file (a type of spreadsheet) to bulk-upload your products. Include the item name, price, SKU (Stock Keeping Unit), and current stock levels.

  4. Customise your receipts: Add your business logo, shop address, VAT registration number (if you have one), and your returns policy to the bottom of the receipt.

Training and staff access

If you have a team, create individual staff accounts with unique PINs. This allows you to track who processed which sale and prevents unauthorised staff from issuing refunds or seeing sensitive financial reports.
