How to complete the fit-out and decoration of your café

Transform your empty space into a welcoming, functional, and on-brand café by carefully managing the construction and design process.

Turning an empty shell into a bustling café is one of the most exciting parts of your journey. Your main job here is to act as a project manager, coordinating different tradespeople to bring your vision to life. Success depends on clear planning, hiring qualified professionals, and keeping a close eye on the budget and timeline. Get this right, and you'll create a space that not only looks fantastic but also works efficiently for both your staff and customers.

Step 1: From Vision to Blueprint

Before a single hammer is swung, you need a detailed plan. You should already have a strong idea of your café's layout and brand identity. Now is the time to make it concrete. Work with a designer or architect to create scaled floor plans that show exactly where everything will go, from the coffee machine and service counter to customer seating and toilets.

This plan must include a full electrical and plumbing layout. Think about where you'll need sockets for tills, grinders, and customer laptops. Map out the water and waste pipes required for the coffee machine, dishwasher, ice maker, and sinks. Having these technical drawings is essential for getting accurate quotes and ensuring the work is done correctly.

Step 2: Assembling Your Team

You will need to hire a team of qualified tradespeople. Depending on the scale of your project, you might hire a main contractor to manage everything, or hire individual trades yourself. Key people you'll likely need include:

  • Builders: For any structural changes, plastering, and general construction.
  • Electricians: Must be registered with a competent person scheme (e.g., NICEIC, NAPIT).
  • Plumbers: Look for those with experience in commercial premises. If you have gas appliances, they must be Gas Safe registered.
  • Joiners/Carpenters: For building bespoke counters, shelving, or fitting doors.
  • Decorators: For painting, wallpapering, and finishing touches.

Top Tip: Always get at least three detailed, written quotes for any significant work. Don't just choose the cheapest; consider their experience, references, and how well you communicate with them. Insist on a written contract that outlines the scope of work, timeline, and a clear payment schedule.

Step 3: The Construction Phase

The fit-out process is typically split into two main stages, known as the 'first fix' and 'second fix'.

The First Fix: The Hidden Work

This is the messy, structural part of the job where all the essential, hidden services are installed. This happens before walls are plastered or floors are laid. It includes running all the electrical wiring for lights and sockets, installing pipework for water and waste, and fitting any ventilation or extraction systems. It’s crucial that this is done according to your plan, as it’s very difficult and expensive to change later.

The Second Fix: Making it Functional

Once the plastering is done, the second fix begins. This is where everything starts to connect and become functional. Electricians will fit socket faces, light fittings, and connect the main fuse board. Plumbers will install the toilets, sinks, and crucially, connect your coffee machine and other kitchen appliances. Your bespoke counter will be fitted, and any permanent fixtures are installed.

Step 4: Decoration and Flooring

With the main construction complete, it's time to bring your brand's personality to life. This stage includes all the painting, tiling, and wallpapering. When choosing flooring, prioritise safety and durability. The floor in a café needs to be non-slip, hard-wearing, and easy to clean. This is where your mood board and brand colours guide the final look and feel of the space.

Step 5: Furniture and Final Touches

The final step is to move in your furniture and equipment. Arrange your tables and chairs according to your seating plan, ensuring there's enough space for customers and staff to move around comfortably and safely. Set up your till system, display your cakes in the counter, and add the final decorative touches like plants, artwork, and menu boards. Once everything is in place, give the entire space a thorough deep clean before you prepare for your opening.

Key Advice for a Smooth Fit-Out

  • Have a Contingency Fund: Building work almost always uncovers unexpected issues. Keep at least 10-15% of your total fit-out budget aside as a contingency to cover unforeseen costs.
  • Visit the Site Regularly: Try to visit the premises every day. It allows you to spot potential problems early and answer any questions from your tradespeople on the spot, preventing costly delays.
  • Create a Snagging List: Before you make the final payment to your contractors, go through the entire space with a fine-tooth comb. Create a 'snagging list' of any small defects, unfinished work, or issues that need fixing. A good contractor will happily work through this list before they request the final payment.
