How to obtain a DBS check

A crucial step to prove you are suitable for working with children or vulnerable adults and to build trust with clients.

If your business involves working with children or vulnerable adults, you must get an Enhanced Disclosure and Barring Service (DBS) check. This is a non-negotiable legal and ethical requirement for roles like tutoring, coaching, or care, proving you are suitable to work with these groups. You cannot apply for an Enhanced check by yourself; it must be submitted through a registered organisation known as an "Umbrella Body".

What is a DBS Check?

A DBS check is an official record of a person's criminal convictions and cautions. It's a critical part of safeguarding, helping employers and clients make safer recruitment decisions. For a new business owner, having a clean DBS check is essential for building trust and credibility with your first customers, especially parents.

Which Type of Check Do I Need?

There are three main levels of DBS check, but for working with children or vulnerable adults, only one is appropriate:

  • Basic Check: Shows any 'unspent' convictions and conditional cautions. This is not sufficient for working with children.
  • Standard Check: Shows spent and unspent convictions, cautions, reprimands, and final warnings.
  • Enhanced Check: This is the level you require. It includes everything in a Standard check, plus any additional, relevant information held by local police that is considered relevant to the role.

How to Apply for an Enhanced DBS Check

As an individual or sole trader, you can't get an Enhanced check directly from the DBS. You need to use a registered Umbrella Body that will process the application on your behalf. Here’s how it works:

  1. Find an Umbrella Body: The GOV.UK website has a list of registered organisations. Search online for "DBS Umbrella Body for individuals" to find services that cater to self-employed people. Prices for their administrative service vary, so it's worth comparing a few.
  2. Complete the Application: The Umbrella Body will give you an application form to fill out. This will ask for personal details, including your address history for the last five years. Be thorough and accurate.
  3. Verify Your Identity: You will need to provide original documents to prove your identity. This typically includes your passport, driving licence, and recent utility bills or bank statements. The Umbrella Body will provide a list of accepted documents and guide you on how to get them verified.
  4. Submission and Waiting: Once your identity is confirmed, the Umbrella Body submits your application to the DBS. The check is then carried out. Most checks are completed within a few weeks, but it can take longer.
  5. Receive Your Certificate: The official certificate is posted directly to your home address. The Umbrella Body will be notified of the result but will not see the certificate itself.

A Top Tip: The DBS Update Service

Once you receive your certificate, you have 30 days to register it with the DBS Update Service. This online subscription service costs a small annual fee but allows you to keep your certificate up-to-date. It means future clients or employers can check your status online instantly (with your permission), saving you the time and expense of applying for a new check every time.

Getting your DBS check is a vital step in setting up your business correctly. It demonstrates your professionalism and commitment to safeguarding, giving your clients the peace of mind they need to trust you and your services.
