Building a reliable and well-trained team is essential for providing great customer service and operating your store legally and efficiently.

Hiring the right people and training them properly is one of the most important things you can do to make your store a success. Your staff are the face of your business, so your goal is to build a reliable team that can offer great service and handle the day-to-day running of the shop. The process is straightforward: write a clear job description, ask practical interview questions, and follow a structured training plan.

Finding the Right People

Before you can train anyone, you need to recruit them. A little bit of preparation here will save you a lot of time and effort later on.

  1. Write a Clear Job Description: Be specific about what the job involves. List the main duties, such as operating the till, restocking shelves, cleaning, and helping customers. State the expected hours, the rate of pay (which must meet the National Minimum Wage), and the kind of person you’re looking for – for example, friendly, reliable, and a quick learner.
  2. Advertise the Role: You don’t need to spend a fortune. Some of the most effective methods are free. Put a well-designed poster in your shop window, post in local community Facebook groups, or use free online job boards.
  3. Prepare for the Interview: Plan your questions in advance. Focus on practical scenarios and attitude rather than just previous experience. Ask things like, “Can you give an example of a time you provided great customer service?” or “What would you do if a customer complained about a product?” This helps you understand how they think and solve problems.

Training Your New Staff

Good training empowers your staff, reduces mistakes, and ensures your shop is run safely and legally. Don’t assume they know everything. Cover these key areas with every new starter:

  • Customer Service: Explain your standards. This includes how to greet customers, how to be helpful without being pushy, and how to handle tricky situations.
  • Till Operation: Provide hands-on training with your EPOS system. Show them how to process sales, take card payments, handle refunds, and perform the end-of-day cashing up procedure.
  • Stock Handling: Walk them through the process of accepting deliveries, checking them against the delivery note, and how to restock shelves. Explain the importance of stock rotation, using the ‘First-In, First-Out’ (FIFO) method to reduce waste.
  • Legal Responsibilities: This is the most critical part of the training. You and your staff must be fully trained on your legal duties, especially regarding the sale of age-restricted products. They need to understand and follow your age verification policy (such as Challenge 25) without fail.
Top Tip: Create a simple training checklist for every new employee. List all the key topics and tick them off as you cover them. This ensures everyone receives consistent training and you haven’t missed anything important.
