How to set up an HMRC agent services account
An Agent Services Account is the mandatory digital gateway for professional accountants to manage client tax affairs and access Making Tax Digital services.
To act as a professional tax agent in the UK, you must create an HMRC Agent Services Account (ASA). This account is the essential digital gateway that allows your firm to manage client affairs for services like Making Tax Digital (MTD) for VAT, Self Assessment, and Corporation Tax. It is separate from a standard individual or business Government Gateway account and is designed specifically for those in professional practice.
Prerequisites for your account
Before you begin the application, you must have several key pieces of information and registrations in place. HMRC will not grant an Agent Services Account unless you can prove you are a legitimate, supervised professional. You will need:
- Your firm’s details: This includes your business name, address, and Unique Taxpayer Reference (UTR).
- AML Supervision: You must already be registered for Anti-Money Laundering supervision, either through a professional body or HMRC. You will need your registration number and the date your supervision expires.
- A new Government Gateway ID: You cannot use your personal or existing business tax account ID. You must create a brand-new ID specifically for these agent services.
Step-by-step setup guide
Once you have your prerequisites ready, follow these steps to get your account live:
- Visit the official portal: Go to the "Create an agent services account" page on the GOV.UK website.
- Create credentials: Choose the option to create a new Government Gateway user ID. When prompted, select 'Accountancy service provider' as the user type.
- Verify your identity: You will need to provide your Name, National Insurance number (or passport details), and date of birth to verify who is setting up the account.
- Enter business details: HMRC will ask for your firm’s UTR and the postcode associated with that UTR.
- Submit AML info: You must enter the name of your supervisory body and your registration number. HMRC will verify this against their records.
- Finalise and Note: Once the account is created, you will be issued an Agent Services Account ID (starting with X). Keep this safe; you will need it to link software or contact HMRC agent helplines.
Top Tip: Use a central business email address (such as [email protected]) to set up the account rather than a personal email. This ensures that if you hire staff in the future, the primary account remains tied to the business entity.
What happens next?
Once your account is active, you can begin the process of "authorisation." This involves using your ASA to generate links that you send to your clients. When the client clicks the link and logs into their own tax account, they can digitally approve you to act on their behalf. This replaces many of the old paper-based 64-8 forms, making the onboarding process significantly faster.
Remember that having an Agent Services Account carries significant responsibility. You are responsible for maintaining the security of the account and ensuring that only authorised staff members have access to client data.
