How to train staff on products, safety and service
Well-trained staff are essential for delivering consistent quality, ensuring legal safety compliance, and creating a fantastic customer experience.
To turn your passion into a successful business, you need a team that shares your knowledge and standards. The best way to achieve this is by creating a structured training plan that covers four key areas: your products, food safety procedures (HACCP), allergen handling, and customer service. Getting this right from day one ensures consistency, keeps you legally compliant, and builds a reputation for quality that will keep customers coming back.
The Four Pillars of Your Training Plan
Your training should be comprehensive, covering everything an employee needs to know to perform their role confidently and safely. Break it down into these four essential topics:
- Product Knowledge: Your staff are your salespeople. They must be able to describe every item you sell with confidence. Train them on the specific ingredients, the taste and texture profile, where key ingredients come from, and how each product is made. Give them the language to upsell and make recommendations, for example, suggesting which bake pairs best with a flat white.
- Food Safety & Hygiene: This is a non-negotiable legal requirement. Your training must cover the practical, day-to-day application of your Food Safety Management System (HACCP). This includes personal hygiene standards (especially correct handwashing), your ‘clean as you go’ policy, how to use cleaning chemicals safely, and the importance of temperature control for deliveries, storage, and display.
- Allergen Handling: Mishandling allergens can have severe consequences. Staff must be trained to take allergen queries seriously. They need to know the 14 major allergens, understand your kitchen’s procedures for preventing cross-contamination, and know exactly what to say and do when a customer asks about ingredients. They should be confident in checking your allergen matrix and never guess the answer.
- Customer Service & Operations: This covers the mechanics of the job. Train your team on the entire customer journey, from how to greet someone warmly to how to handle a complaint professionally. Ensure everyone is proficient with the till system, your opening and closing checklists, and any other daily operational tasks.
Making it Stick: How to Train Your Team
Delivering the training effectively is just as important as the content itself. A multi-pronged approach works best.
- Write It Down: Create a simple staff handbook or training manual that contains all the key information. This gives employees something to refer back to and ensures your standards are clearly documented.
- Show, Don’t Just Tell: The most effective training is practical. Demonstrate how to make a perfect coffee, talk them through a recipe, or show them how to cash up the till.
- Buddy Up: Pair new starters with an experienced and trusted team member who can act as a mentor. Shadowing is a powerful way to learn the flow and pace of a real workday.
- Make It Ongoing: Training isn’t a one-off event. Hold brief team huddles at the start of a shift to discuss new products or daily specials, and schedule short refresher sessions every few months on critical topics like food safety.
Investing time in training your staff is investing in the success of your business. A confident, knowledgeable team will not only work more efficiently but will also create the positive, welcoming atmosphere that turns first-time visitors into loyal customers.
